The AAD housing website is now closed. Changes and cancellations to your existing reservation(s) must be communicated directly with your designated hotel(s) beginning on Monday, February 18, 2019.

A few things about aRes and using this service

This service is external from the 2019 Annual Meeting Housing service. You will receive a confirmation for your hotel reservation directly from aRes. If you would like to talk to an aRes Customer Service agent, please call 877-300-6147 or International callers 619-546-7263.

When reserving a room via the aRes link, some hotels will require a full pre-payment of the of the reservation.
Some hotels may also have a different cancellation policy than AAD's cancellation. Please make sure you read all of the details prior to reserving your hotel reservation.


Hotel accommodations and reservations


The hotel reservation deadline was Wednesday, February 6, 2019.

Guest rooms are being held for meeting registrants at several major hotels in Washington, DC for those booking through the AAD Housing Office at AAD discounted meeting rates. For a current listing of official AAD hotels and map, click the link below.


Hotel reservations must be made in conjunction with registration for the meeting.

Availability cannot be guaranteed for reservations received after the housing deadline of February 6, 2019, at 12 p.m. noon (CT).

Depending on demand, additional hotels may be added and information is subject to change at any time.

Experient is the only AAD Official Housing Provider.


Hotel guarantee, cancellation, and change policies


Hotel reservation guarantee policy

Reservations must be guaranteed with a credit card. The credit card expiration date must be April 2019 or later. The card provided will be charged a one (1) night’s room and current sales tax deposit the week of February 4, 2019. This deposit is non-refundable.

Hotel reservation cancellation policy

From time of booking until Wednesday, January 23, 2019 at 12 p.m. (CT), a $100 per reservation cancellation fee will be processed to the credit card listed for your guarantee. This fee is applicable regardless of cancellation reason or method.

After Wednesday, January 23, 2019 12 p.m. (CT), a one (1) night’s room & current sales tax per reservation will be processed to the credit card provided for your guarantee (see Hotel Reservation Guarantee Policy above). This fee is applicable regardless of cancellation reason or method.

Week of February 4, 2019, the hotel will charge a one (1) night's room & current sales tax deposit to the credit card provided for guarantee. This deposit will be applied to your hotel reservation charges and should appear on your final hotel reservation folio. You may contact the hotel directly for changes and cancellations beginning Monday, February 11, 2019. Cancellation fees will apply regardless of cancellation reason or method.

Failure to show on day of anticipated arrival
Failure to check-in on the scheduled date of arrival will result in a “no-show fee” of one (1) night’s room & current sales tax and cancellation of the reservation. If your travel plans are delayed, please be sure to notify the hotel directly to avoid this fee.

Early departure fee
In the event you wish to depart earlier than scheduled, the hotel may charge an "early departure fee". To avoid this fee, confirm your departure date with the hotel before or during check-in.


Hotel reservation changes


Prior to and including Wednesday, February 6, 2019, at 12 p.m. (CT), changes can be made online by clicking the link provided in the “Change” section of your confirmation letter or the “Already registered” section of the registration website.

Between Thursday, February 7, 2019 and Sunday, February 10, 2019, reservations are being transmitted to the hotels. No changes or cancellations to hotel reservations will be accepted during this time period.

Starting Monday, February 11, 2019, until check-in, changes need to be made directly with the hotel.

Arrival or departure changes will be accepted until hotel check-in date and are based on hotel availability.

Note: Switching hotels after February 6, 2019 will result in the loss of the one (1) night room and current sales tax deposit.
