Hotel Accommodations & Reservations

Guestrooms are being held for the Academy at several major hotels in San Francisco, CA.  In order to receive the AAD group rate, reservations must be made as part of your registration for the meeting.  Registration for members, begins November 24, 2008.  For informational purposes only, a list of these hotels will be made available on the website in early November.

Guestrooms will be held for the Academy at several major hotels in San Francisco, CA. See the"Hotel Reservation Information" section in the Advance Registration and Housing Brochure for a description and rates of each participating hotel. A map is included that denotes their locations. Based on demand, additional hotels maybe added at any time to the official block. Reservations may be secured online, by fax or by mail through the AAD Housing Office.

AAD discounted group rates are lower than available hotel rack rates. These discounted rates are ONLY available when reservations are made through the AAD Housing Office.

Be prepared to finalize your travel plans immediately as rooms in the most popular hotels go quickly. Given that San Francisco, CA, is a popular tourist destination, hotel rooms are at a premium. Availability cannot be guaranteed for reservation requests received after the housing deadline.

A Housing Desk will be open in the registration area on Thursday, March 5 through Sunday, March 8.

The deadline for housing is Tuesday, February 3, 2009 at 12:00pm (CT). Housing cannot be secured unless you are registered for the meeting. AAD group rates cannot be guaranteed after this date.

Hotel Cancellation

Should circumstances require the cancellation of your hotel reservation, follow the instructions below.

• By February 3, 2009 at 12:00pm (CT). A letter of cancellation must be received in writing via e-mail at aad@experient-inc.com or faxed to the AAD Housing Office at (847) 940-2386 or (800) 521-6017. A full refund of your deposit will be processed by the AAD Housing Office. Reservations canceled after 12:00pm (CT) on February 3, 2009 will forfeit their deposit.
• After February 3, 2009 the rooming list will be transferred to the individual hotels. Between February 9 and February 12, the individual hotels will be inputting your reservation into their systems. The AAD Housing Office and individual hotels will be unable to take requests for changes and/or cancellations during this time.
  

• Starting February 13, 2009 you may contact the hotels directly for your reservation needs.
  Individuals who choose to make their reservations directly with the hotels are not guaranteed the AAD Convention rate. Failure to check in on the scheduled date of arrival will result in the loss of deposit and cancellation of the room.
